Minutes of 9/8/04 TERMinators meeting

Branch representation

A need to have a branch representative on the group was discussed. Tom reported that he had had difficulty finding one. It was decided not to pursue the issue.

Group's charge

The group s charge has not been approved by LEC yet. A brief discussion about the group s charge occurred.

Choosing group's name

The group took a vote and selected TERMinators as their official name. Tom will set up a listserv where all the communication is to occur.

Taking and distribution of meeting minutes

Several options of taking minutes were discussed: rotating alphabetically; each person for a period of a month; group chair or another designated person taking minutes for all meetings.

Tom asked to be excused from minutes taking so he could focus on leading meetings.

It was decided that minutes are to be taken in alphabetical order by last name. If the person whose turn to take minutes is absent, the next person alphabetically will resume the responsibility.

Minutes in a form of a draft are to be posted directly in the body of the e-mail (not as attachment) and sent out to the listserv for group s approval. Prompt minutes distribution would be appreciated.

Once the minutes are approved, Tom will post them to the group s web site and send an ULON with the link to the minutes for library-wide access.

Demo of the new library web site and DDW facets/terms

The group looked at the new home library web site. Under Find Resources by Subject Tom navigated to the Language and Literature, French subject page. A quick overview of the page layout was given.

The discussion then concentrated on facets/terms combinations listed on that particular page. Several resources seemed to be listed with inappropriate terms, the problem that emphasized the need of the group s involvement in standardizing the use of vocabulary and making recommendations about its use. It is very important to understand the distinction between what resources are and what they contain.

Upon request the history of creation of current facets and terms was clarified. Additionally, Tom explained that DDW makes pages based on associations of terms.

Future meeting schedule

Laurie said that she reserved 222A for the group s future weekly meetings through the end of the calendar year. Laurie scheduled the meetings for everyone through Corporate Time.

Tom will be out on vacation in the upcoming weeks, but details of the future meeting schedule will be discussed at the next meeting.
